Its limits appear over time. You pay per user per month, forever. You adapt to the software, never the other way round. Your data lives with a third party. And the day the vendor raises its prices, changes its terms or shuts down, you suffer.

The real cost of SaaS is not on the first invoice. Multiply the price per user, by the number of employees, by the number of years: the total is often surprising, and you still own nothing at the end.

Custom: an investment that belongs to you

Software developed for you fits your processes instead of forcing you into a box. It belongs to you: no per-user subscription that climbs with every hire, no dependence on a vendor. You decide how it evolves, and your data stays with you.

The upfront investment is higher, true. But over several years, for a tool central to your business, it often turns out to be more economical than an endless subscription, while fitting your business perfectly.

How to decide: four questions

  1. Is the need standard or specific to your business? Standard leans SaaS, specific leans custom.
  2. How many users, and for how many years? The higher and longer, the more custom becomes worthwhile.
  3. Is the sovereignty of your data an issue? If so, custom hosted on your side takes the advantage.
  4. Is this tool at the heart of your differentiation? A strategic tool deserves to be yours, not rented.

The third path: custom with built-in AI

Having your tool built is also the chance to embed artificial intelligence where it makes sense: smart search, an assistant, automated data entry. Software designed for you, with AI in the right place, is worth infinitely more than a generic SaaS with a chatbot bolted on the surface.

The choice between SaaS and custom therefore has no universal answer. For a mundane, temporary need, subscription does the job. For a central, lasting tool specific to your business, software that belongs to you is almost always the better long-term calculation.
